Connect Billit with Toggl

    1. Toggl setup

    Step 1: create a Toggl account

    Go to the Toggl website, create an account and log in.

    Step 2: create a client

    Before you can create a project in which you track time, you need to create a client in Toggl. In Toggl, navigate to the 'Clients' menu and click 'New Client' at the top right.

    At a later stage, Billit will link the project you are working on to your customer in Billit based on the company number/VAT number. It is therefore essential that the company number appears in your client's name in Toggl. You can do this by naming your client in one of the following three ways:

    • the client's VAT number, e.g. "BE0563846944"
    • name + VAT number, e.g. "Billit BE0563846944"
    • VAT number + name, e.g. "BE0563846944 Billit"

    Make sure the VAT number/company number is always kept separate from the other words in the name.

    Step 3: create a project

    Once you have created a client, you can create a project in which you track working hours for that client. Go to the Projects menu and click 'Add New Project'.

    Fill in the following details:

    • Project Name: the name of your project (you can choose this yourself)
    • Workspace: if you have several accounts or workspaces, you can select one here.
    • Customer: choose your client
    • Privacy: set whether your project is private or public

    Step 4: create a product

    We will now set up the hourly rate for your work as a product in Billit. The price on your invoice will later be calculated based on this product, i.e. 1 hour of work. You can enter different hourly rates for different types of tasks. Always enter a product reference. You can choose it yourself, but always make sure the references are different from each other. You then enter the product reference of the hourly rate you want to use for a particular project as a tag in Toggl.

    In Toggl, go to the 'Tags' menu and click 'New Tag'. Name the tag after the Billit product reference of your hourly rate and click CREATE.

    2. Zapier setup

    Step 1: create a Zapier account

    Go to the Zapier website, create an account and sign in. As you only need one trigger and one action for this integration, you can use the free account.

    Step 2: create a 'zap'

    A zap is a workflow with at least one trigger in one tool and one action in another (or the same) tool. In this guide, it is the workflow in which recording time in Toggl acts as the trigger for creating an invoice in Billit and drawing it up based on the time entry combined with the hourly rate linked to the tag/product reference in Toggl.

    After signing in, click 'Make a Zap' at the top left and give your zap a name.

    Step 3: create a trigger

    In the zap you have just created, you can now set up a trigger. In this case, that is entering a time entry in Toggl. Type Toggl in the search box and click the Toggl icon.

    In the dropdown menu on the next screen, choose 'New Time Entry' as the 'Trigger Event'. Then click 'Continue'.

    On the next screen, you need to sign in to Toggl in Zapier, so that Zapier gets permission to retrieve data from your Toggl account. Click 'Log in with Toggl'. A window then opens where you can enter the API key of your Toggl account. You can find it in your Toggl account: in Toggl, click the icon next to your account name and e-mail address at the bottom left. Scroll down on your profile page and copy the API key.

    Back in Zapier, you can now select your workspace. Then click 'Continue'.

    Zapier will then suggest testing your trigger. If you don't have any data in Toggl yet, first enter a 'Time entry'; otherwise Zapier has no data to run the test with.

    Go to Toggl and add a time entry to your project. Make sure you select the correct client and tag (or product) when you record it.

    After entering your time entry in Toggl, go back to Zapier and run the test. After the test, click 'Continue'.

    Step 4: set up an action

    In the next step, we will set up an action to be performed based on our trigger, namely creating an invoice in Billit. In your zap, click the following box: 'Action'.

    Type 'Billit' in the search bar and click the Billit icon. Then select 'Update or add Invoice' in the 'Action Event' drop-down menu and click 'Continue'.

    Just as you had to sign in to Toggl when creating your trigger, you can now sign in to Billit. If you manage several companies with your login, you can select the correct company on the second screen. Then click 'Continue'.

    On the next screen, choose the Toggl data that this action uses. Select each item in the drop-down menu (use the search function if needed).

    • Customer VAT: select 'Project Client Name' here; this is the name you gave the client in Toggl.
    • Product: we defined the product as a tag, so select 'Tags' here.
    • Quantity: the quantity is, of course, the time tracked or entered in Toggl; select 'Duration Hours'.

    Zapier will then ask you to run a test again. When you run it, an invoice is created in Billit. Don't forget to delete it in Billit after running this test. Once you have run the test, you can activate the zap.
