How do I connect my accounting software via BillSync?

⚠️ Important: This article is about the BillSync integration via the accountant portal. Are you an in-house accountant without access to the accountant portal? Then contact us via the Help button in the platform.

What is BillSync?

BillSync is a Windows service that you install on a PC or server. It takes care of the automatic synchronisation between Billit and your accounting software. With BillSync, you can:

  • Automatically download UBL, CODA and other files (such as reports or documents) to local folders.
  • For Expert/M and Adsolut, send additional data back to Billit, such as customers, suppliers, general ledger accounts and booking details (bidirectional integration).

Important if you are installing BillSync:

Are you installing BillSync yourself or having an IT partner do it?
Then make sure of the following:

  1. Create a (temporary) user via Settings > Users in the accountant portal for the person who will carry out the installation.
  2. Make sure you have access to the PC or server with administrator rights so that software can be installed.

  • Optional: bi-directional connection with Expert/M

    1. Retrieve the details from the configuration file

    For the connection with Expert/M, BillSync uses existing credentials from the Kluwer configuration file:

    • On the Kluwer server, navigate to the folder ...\Kluwer\FinFisc\KlusoCon\.
    • Open the KlusoCon.ini file.
    • Look for the server name, the username, the password and, if applicable, the name of the Kluwer Office server.

    If you can't find this file or the details are missing, contact Kluwer support. You can also log in to the SQL Server directly to create a user manually.

    2. Settings in the Billit platform ("ExpertM" tab)

    The configuration works as for Adsolut, with two extra fields.

    1. In the Billit platform, go to Settings > Integrations > BillSync and open the "ExpertM" tab.
    2. Under "Server name", enter the SQL Server instance that hosts the Expert/M databases.
    3. Open the "Advanced" section and choose how BillSync logs in to the database server (see below).
    4. Fill in "CDB Suffix" if your central Expert/M database uses a suffix (without the "-" or "_").
    5. Fill in "Kluwer Office server" if the relations are managed in Kluwer Office / Alure.
    6. Click "Validate connection" and wait for the message "Validation successful".

    Authentication options ("Advanced" section)

    • "Default credentials": uses preconfigured credentials to log in to the database server.
    • "Integrated security": logs in with the Windows account under which the BillSync service runs.
    • "Username" / "Password": explicit SQL Server credentials, e.g. those from KlusoCon.ini.

    Note: if the platform shows "BillSync is not responding" during validation, the BillSync service is not running or is not connected. Start the service in the BillSync window and validate again.
