How do I connect my accounting software via BillSync?

⚠️ Important: This article is about the BillSync integration via the accountant portal. Are you an in-house accountant without access to the accountant portal? Then contact us via the Help button in the platform.

What is BillSync?

BillSync is a Windows service that you install on a PC or server. It takes care of the automatic synchronisation between Billit and your accounting software. With BillSync, you can:

  • Automatically download UBL, CODA and other files (such as reports or documents) to local folders.
  • For Expert/M and Adsolut, send additional data back to Billit, such as customers, suppliers, general ledger accounts and booking details (bidirectional integration).

Important if you are installing BillSync:

Are you installing BillSync yourself or having an IT partner do it?
Then make sure of the following:

  1. Create a (temporary) user via Settings > Users in the accountant portal for the person who will carry out the installation.
  2. Make sure you have access to the PC or server with administrator rights so that software can be installed.

    1. Retrieve the details from the configuration file

    For the connection with Adsolut, BillSync needs the name of the SQL Server instance that hosts the Adsolut databases. You can find it in the Adsolut configuration file:

    • Navigate to the folder ..\Data_Adsolut\Adsolut\bin\.
    • Open the Adsolut.exe.config file.
    • Look for the value of the ServerName parameter.

    If you can't find this file or the details are missing, contact Adsolut support. You can also log in to the SQL Server directly to look up the necessary details or create a user.

    2. Settings in the Billit platform ("Adsolut" tab)

    1. In the Billit platform, go to Settings > Integrations > BillSync and open the "Adsolut" tab.
    2. Under "Server name", enter the value from the configuration file.
    3. If you use Adsolut Express, enable "Adsolut Express".
    4. Open the "Advanced" section and choose how BillSync logs in to the database server (see below).
    5. Leave "Master DB" at the default value "MASTERKB", unless your master database has a different name.
    6. Click "Validate connection" and wait for the result.
    7. If it succeeds, you will see "Validation successful" and the number of client files found. The connection is now active.

    Note: only enable Adsolut Express if you actually use Adsolut Express. With a standard Adsolut installation, this setting can cause problems.

    Authentication options ("Advanced" section)

    • "Default credentials": uses preconfigured credentials to log in to the database server.
    • "Integrated security": logs in with the Windows account under which the BillSync service runs.
    • "Username" / "Password": explicit SQL Server credentials.

    Note: if the platform shows "BillSync is not responding" during validation, the BillSync service is not running or is not connected. Start the service in the BillSync window and validate again.
