How do I connect my accounting software via BillSync?

⚠️ Important: This article is about the BillSync integration via the accountant portal. Are you an in-house accountant without access to the accountant portal? Then contact us via the Help button in the platform.

What is BillSync?

BillSync is a Windows service that you install on a PC or server. It takes care of the automatic synchronisation between Billit and your accounting software. With BillSync, you can:

  • Automatically download UBL, CODA and other files (such as reports or documents) to local folders.
  • For Expert/M and Adsolut, send additional data back to Billit, such as customers, suppliers, general ledger accounts and booking details (bidirectional integration).

Important if you are installing BillSync:

Are you installing BillSync yourself or having an IT partner do it?
Then make sure of the following:

  1. Create a (temporary) user via Settings > Users in the accountant portal for the person who will carry out the installation.
  2. Make sure you have access to the PC or server with administrator rights so that software can be installed.

    Step 1: Connect BillSync to Billit

    BillSync needs to be linked to your Billit accountant account once. You don't need any API keys: the link is set up via your browser.

    1. Open the BillSync window via the desktop shortcut or via Start menu > Billit > BillSync.
    2. Check that the service status is "Running". If not, click "Start".
    3. Click "Connect with Billit". Your browser opens the Billit platform.
    4. Log in with your Billit account.
    5. Select the accounting profiles you want to link and click "Connect".
    6. Return to the BillSync window and check that the Billit connection shows "Active".

    Note: the link opened in the browser is valid for 24 hours. If it has expired, click "Connect with Billit" again.

    Step 2: Set up the download folders

    After connecting, specify where BillSync should place the files. Nothing is downloaded until this has been set up.

    1. In the BillSync window, click "Open configuration".
    2. Select the tab of the accountant profile you want to configure.
    3. Under "Document folder", specify the folder (type it or browse to it) in which BillSync should place the documents.
    4. Optionally, set up a separate "CODA folder" for financial transactions (CODA files).
    5. If the folders are on a secured network share, fill in "Username" and "Password" under "Network drive authentication".
    6. Click "Save".

    Note: the path field is orange as long as the folder does not exist and turns white as soon as it does. Paths on mapped network drives (e.g. Z:\) are automatically converted to their UNC path (\\server\share\...), which is shown next to the field.

    Note: instead of filling in the "Username" and "Password" fields, you can also set up a service user on the BillSyncService itself: Services > BillSyncService > Properties > Log On > This account. Enter the credentials and restart the service.

    Resulting folder structure

    For each client file, BillSync creates a folder under the Document folder:

    <Document folder>\<Company name>-<VAT number>\<Subfolder per document type>

    The default subfolders are Sale, Purchase, Documents, Financial transaction and Reports. Their language follows the "Folder structure language" setting in the platform (e.g. Verkoop/Aankoop in Dutch). You can change the subfolder names per client file in the platform (see BillSync settings in the Billit platform).
