  • How can I follow up my usage in Billit?

    For each file in Billit, you can purchase a license per month, quarter or year. Depending on the package you have chosen, you are entitled to a fixed number of documents you can process. Regardless of the license term, usage is always calculated per month. You can always check in Billit how many documents you have processed so far.

    In your file, go to the 'Settings' menu and to 'License'. You will see your current package and the number of documents you have already processed this month. This info is updated in real time.

    The  document types that count towards your usage, are: purchase invoices, sales invoices, credit notes, receipts and documents.

    Q: What if I use more than included in my package?
    A: No problem! Billit will not block your account or force you to choose a more expensive plan. The total number of documents you can process is calculated based on the duration of your subscription. So, if you use more in some months and less in others, it can still fall within the total usage of your subscription.

    For example: You have a subscription of 25 documents per month with a duration of 1 year. That adds up to 300 available documents per year. You have 4 months each year where you process a lot of documents. That’s a total of 4x60 documents or 240 per year. In the other 8 months, you process only 5 invoices per month, or 40 in total. With 240 + 40 documents, you comfortably stay within the annual limit.

    Another example: You have a subscription of 50 documents per month with a quarterly duration. This allows you to process a maximum of 150 documents per quarter. In the first month, you process 35 documents, but in the second month, it’s 100. In the third month, you handle 40 documents. Your total available invoices are 150, but you’ve processed 175. This exceeds your subscription.

    Depending on your usage over a longer period, it may be interesting to extend the duration and spread out your consumption. If you end up using more than your subscription allows, we will bill the extra usage for that period (based on the creation date of the document) at an overuse rate based on your licence (overuse rates can be found in the platform). Usually this is cheaper than upgrading to a higher license.

    Q: Where can I see exactly which documents I have processed per month?
    A: In the menu, go to 'Reports' and 'Lists'. In the usage report, you can see all the details of your documents and when they were processed.
